Assignment information supplied by our clients, which may include property addresses, claim or file numbers, carrier names, contact details for the property owner or representative, and scheduling notes.

Field documentation captured by our inspectors, including photographs, measurements, inspection findings, mileage records and supporting documents.

Technical information generated automatically when you use the portals, such as sign-in timestamps, device and browser information, and audit records of actions taken in the platform.

How we use information

To schedule, perform, review and deliver the field services requested by our clients.

To operate the client, inspector and administrative portals, including authentication, role-based access, quality control and audit logging.

To invoice clients, calculate inspector compensation, and maintain financial and tax records.

To communicate about assignments, scheduling, compliance requirements and service updates.

To meet legal, regulatory, insurance and contractual obligations.

How we share information

With the client who ordered the assignment, and with the field inspector assigned to perform it, limited to what each needs to complete their role.

With service providers that support our operations, such as hosting, database, storage and payment processing vendors, under confidentiality obligations.

When required by law, subpoena, regulatory request, or to protect the rights, property or safety of KG Claims Field Services, our clients or the public.

We do not sell personal information, and we do not share assignment documentation for advertising purposes.

Photographs and property documentation

Photographs and inspection documentation are treated as confidential work product belonging to the ordering client. Access inside the platform is restricted by role, and shared galleries are delivered through expiring secure links.

KG Claims Field Services may retain copies of completed documentation as part of its business records and for quality control, dispute resolution and insurance purposes.

Data security

Access to the portals requires authentication, and data access is enforced at the database level so users can reach only the records associated with their role and their organization.

Files and photographs are stored in private storage and served through time-limited links rather than public URLs.

No system can be guaranteed to be completely secure. If we become aware of a breach affecting your information, we will notify affected parties as required by applicable law.

Data retention

We retain assignment records, documentation and financial records for as long as needed to provide services and to satisfy legal, tax, insurance and contractual requirements.

Clients may request deletion of records that are not subject to a retention obligation by contacting us at the address below.

Your choices

You may request access to, correction of, or deletion of your personal information, subject to our legal and contractual retention obligations.

You may opt out of non-essential communications at any time. Operational messages tied to an active assignment or account cannot be opted out of while the account remains active.

Children's privacy

Our website and portals are intended for business use and are not directed to individuals under 18. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. The effective date below reflects the most recent revision, and material changes will be communicated to active portal users.
